Google Workspace Setup Law Firms Pakistan: Confidentiality-Aware Plan
Google Workspace setup law firms Pakistan is a paper plan finished before the first mailbox exists. Name the registrar owner and the super admin. Record least privilege, the MFA method, mailbox and data inventories, an approved migration, a sender inventory, and SPF, DKIM, and DMARC checks. A new matter gets a folder and a reader list, not a copy of someone's whole mailbox. These are general safety practices, not Pakistan legal advice. They do not promise compliance, and they do not claim that Vault or eDiscovery is part of any edition. This page does not write DNS records and does not send email.
Editorial review date: 10 October 2026. The original publication date is unchanged.
Name the registrar owner and the super admin first
The registrar and the admin console are different locks. The registrar owner changes name servers, recovers the domain, and approves a DNS edit. The super admin creates users in Google Workspace. Write both names, the recovery email, and the recovery phone before any seat is discussed. If an agency holds the registrar login, name a firm person who can obtain it on a stated day. A password kept only in an agency inbox is not ownership. A second person should open the console without every daily power. Record who may create a user, suspend a user, open another mailbox, and change sharing. Rows on the task desk do not create mailboxes until the gates below are signed.
Least privilege before any shared folder exists
Least privilege gives access for the current matter, not every file. If every lawyer is a super admin, or every file sits in one drive, a lost laptop or a departure exposes the firm. A partner may approve a folder, an office manager may reset a password, and an associate joins only folders they work. A public link needs a named owner and an expiry, and a firm mailbox is not forwarded to a private address. Intake readers are a written list. A group is used only when membership is reviewed, and an all-staff group needs a reason or it stays off the plan. This safety practice does not replace counsel.
Plan one MFA method before the first sign-in
Choose one MFA method before the first user exists, so sign-in is not a password alone. Use an authenticator application, a hardware key, or another method the edition actually offers. Write who enrolls each person and where backup codes live. Those codes stay out of the super admin mailbox and out of chat. If a phone is the only factor, name who opens the console when it is lost. Intake is not the recovery address, and its readers are not admins. Record whether every user is covered or only admins. The row stays open until the method, the owner, and the backup location are written.
Inventory mailboxes and the stores beside them
List addresses that exist today. Each row has the address, person or function, readers, host, and any laptop or phone copy, including forwards. A forward into a private inbox still counts, because a client letter can land there. Name who can export, or who can unlock a computer that holds the only copy. Unknown is acceptable. Beside mail, list matter folders, reception scans, and shared drives, with who opens each and whether client material is inside. Do not copy an unlisted store. Mark each store in scope, out of scope, or unknown.
Approve the migration in writing, then pilot it
Copy mail only after an approval that names the source, the destination, the pilot, the dates, and who may run it. Limit the pilot to one person mailbox and one function mailbox. Check a familiar folder, a known recent subject, and a recent sent item before approving the rest. A weekend copy of every mailbox, only because the tool allows it, leaves the plan. Inbound cutover waits on authentication. A later DNS edit is made at the registrar by a named person, with the old and new records kept. A mailbox found mid-copy needs its own approval. This page does not run the copy.
List every sender before you touch authentication
List every system that sends as the domain, not only the mailbox platform. Add the website form, invoice tool, scanner, newsletter tool, old-host reminder, and any laptop script. Record the product, the envelope address, who can change it, and whether it still sends after the move. Unknown needs a named person and a date. Publishing one platform while a second sender remains will fail legitimate mail, or tempt someone to loosen the record. Loosening it to hide an unknown sender fails the gate. In the illustrative office below, a reception scanner that emails intake is such a row.
Google Workspace setup law firms Pakistan and the three authentication checks
SPF, DKIM, and DMARC are separate checks, each compared with the sender inventory. Google documents SPF at the Workspace SPF setup page, DKIM at the Workspace DKIM setup page, and DMARC at the Workspace DMARC setup page. Those notes cover mail that Google sends. They do not list the firm's other senders, and they do not sign in at the registrar. This page does not write DNS records and does not send email.
Inventory all senders before an SPF record is called ready. A Google-only SPF example is not valid for mixed senders, so a form, invoice tool, or scanner must be covered or that sender fails. DKIM is separate from SPF. A pass on one is not a pass on the other, and the console key must match the registrar value. DMARC enforcement follows readiness and monitoring: start with reports a named person reads, and tighten only after legitimate mail passes. Authentication does not guarantee delivery or legal compliance. A message can authenticate and still be rejected, and a pass says nothing about confidentiality, retention, or any legal duty.
| Item | Owner | Evidence | Go-live gate |
|---|---|---|---|
| Domain registrar | Firm person who recovers the domain | Account email and sighting date | Owner named in writing |
| Admin console | Super admin and a second user | Who creates, suspends, opens mail, and changes sharing | Both names and four powers filled |
| MFA method | Person who enrolls each seat | Method name and backup-code location | Method and location written |
| Mailbox inventory | Person who listed addresses | Person or function, readers, host, local copies | Every known address has a row |
| Matter folders | Partner who approves matters | Store, opener, and whether client material is inside | Unlisted stores added or excluded |
| Sender list | Person who confirmed other senders | Product, envelope address, and if it still sends | Each unknown has a resolver and a date |
| SPF | Person matching the record to senders | Draft covering every sender still in use | Mixed senders included or removed |
| DKIM | Person reading console and registrar | Console key and DNS value are the same key | Both sides match, separate from SPF |
| DMARC monitoring | Person who reads reports | Monitoring policy, report mailbox, review cadence | A reader is named before a stricter policy |
Onboard a client into a matter folder, not into a personal mailbox
Onboarding means one announced address and a folder with a member list. This page does not send that announcement. Only someone the least-privilege map allows may create the folder, and members are the people on that matter. The client is told which address to use and is not added to the whole drive.
The following office is illustrative. It is a four-lawyer office in Multan, not a real firm. Seats are Partner, Associate One, Associate Two, and Office Manager. Files are Matter North and Matter South. No client in it is a real person. Partner approves matters. Office Manager may create mailboxes only after the gates pass, may reset passwords, and is not a super admin. Associate One is only on Matter North. Associate Two is only on Matter South. A reception scanner that emails intake is a sender row before any authentication draft. For illustrative Matter East, Partner names Associate One and Office Manager, not Associate Two, and the address given out is intake. That is one folder and one address, not advice on how files in Multan must be kept.
Close access when a lawyer leaves
When a lawyer leaves, the mailbox stays with the firm until a written decision says otherwise. On a named date, suspend sign-in, end sessions, change recovery contacts, and revoke connected applications. List each firm or personal device that held the mailbox, and who holds it afterward. Export only after the firm names the folders and who receives the file. Remove the person from every matter folder and leave an owner on each. The firm should ask its own counsel which retention duties apply. This plan does not supply that answer, does not promise compliance, and does not treat Vault or eDiscovery as tools already held. Confirm any archive line on the edition to be bought before anyone relies on it.
| Check | Evidence | Gate |
|---|---|---|
| Access removed | Sign-in suspended, sessions ended, recovery contacts changed | Sign-in fails for the departing person |
| Devices listed | Laptop, phone, and any personal device, each with a later holder | Every device has a named holder |
| Mailbox export approved by the firm | Written approval of folders in scope and who receives the file | Approval exists before the copy |
| Shared drive membership reviewed | Person removed and a remaining owner named on each folder | No folder left without an owner |
Keep safety practices apart from legal advice
The safety column is owners, inventories, authentication checks, and leaver checks. Pakistan legal advice is separate. What must be kept, for how long, who may read a closed matter, and what a departing lawyer may take are questions for the firm's own counsel. Nothing here is a compliance promise or a claim that an edition has been purchased. If counsel has not answered, suspend access, keep the mailbox, list the devices, and wait.
Sign the names, then create the mailbox
Read the go-live table with the people named on it. An empty evidence cell is a reason to wait. Create the first mailbox only after those cells are filled, under the least-privilege map and the MFA method already chosen. This page still does not write DNS records and does not send email.
Name the super admin and the registrar owner before any mailbox is created.
